If your church stores documents across personal laptops, email inboxes, and a shared folder where nobody is sure which version is current, this article explains what Google's free Workspace for Nonprofits plan offers eligible Australian churches, why shared documents matter for a small team, and how to apply.
The document problem most small churches have not solved
When a volunteer treasurer hands over after five years, which documents stay with the church and which go with them? In most small churches, the honest answer is: whatever was on the personal laptop.
Documents shared as email attachments circulate in multiple versions with no clear source of truth. Nobody can say with confidence which child safety policy is current, or whether the meeting minutes from two years ago exist anywhere accessible. When key people leave, institutional memory goes with them.
There is a compliance dimension here too. The Australian Charities and Not-for-profits Commission (ACNC) requires registered charities to retain financial and operational records for a minimum of seven years. Electronic storage satisfies that obligation. Records scattered across personal email accounts do not give the organisation the reliable access and control that the obligation requires. A shared cloud drive, where documents belong to the organisation rather than to individual people, addresses both problems.
What the free Google Workspace plan includes
Google Workspace for Nonprofits covers more than just Docs. The free plan includes Gmail with a custom domain, Google Drive, Docs, Sheets, Slides, Calendar, Meet for video calls, and Chat for team messaging. Storage is pooled at 100 terabytes for the organisation, shared between up to 2,000 users.
In June 2025, Google added Gemini AI and NotebookLM to the free nonprofit plan at no cost. This article does not focus on those features, but they are available to eligible organisations.
For comparison: Microsoft's free nonprofit offering reduced from July 2025, when the free Business Premium grant was discontinued. What remains free is Microsoft 365 Business Basic, covering web-only Office apps and 1 terabyte of storage per user for up to 300 users. For a church starting fresh without existing Microsoft dependencies, Google's package is the more generous starting point in 2026.
One honest note: the free Workspace plan does not include data region controls. Files may sit on Google servers located outside Australia. For routine administration documents, meeting agendas, rosters, and event planning, the practical risk is low. Churches holding sensitive pastoral records should be aware of where that data resides.
Who qualifies and how to apply
Most formally structured Australian churches will qualify under one of three criteria: registration with the ACNC, Deductible Gift Recipient (DGR) status with the Australian Taxation Office (ATO), or ATO income tax-exempt not-for-profit status. Any one of the three is sufficient.
Applications start at Google for Nonprofits. Google passes the verification to Goodstack (formerly Percent), which now handles nonprofit validation for the program. Legacy references to TechSoup as the Google validation partner are out of date; TechSoup's Australian operations continue but no longer process Google nonprofit applications.
The process includes a 14-day trial period during which you will need to verify domain ownership. A custom domain in your church's name is a prerequisite.
For congregations operating under a denominational structure rather than holding their own ACNC registration, eligibility is less straightforward. The key question is whether your congregation has its own Australian Business Number (ABN) showing income tax-exempt status, which you can check at the Australian Business Register. If you are uncertain, your denomination's support office is the best first step before starting an application.
